VoltCart is the shop system for mobile phone and electronics retailers: the counter, your online store, stock, warranty, repairs, trade-ins, used phones and instalments in one place. It replaces the notebook, the spreadsheet and the generic POS, where "which phone did we sell to this customer?" and "is it still under warranty?" are answered by searching a book. In VoltCart every handset is a specific unit with its own IMEI, its own cost and its own history — sold to a named customer, under warranty from that day. Built for a single shop or a chain of branches, in any country and currency.
The counter
- Scan an IMEI or a barcode, or type a name or code: the exact phone goes on the sale and is held so no other counter or online buyer can take it
- Handsets and accessories in one sale; line and sale discounts with a cashier limit; tax included or added, your rate
- Cash with change, card, bank transfer, cheque, finance company (agreement number), and in-house instalments; several payments on one sale
- Park and recall sales; receipts on 58 mm, 80 mm or A4; a warranty slip per handset with its IMEI and both warranty end dates
- Returns as their own record: tick what comes back, back on sale or faulty, refund never more than the customer paid for it, a numbered return slip — the sale itself is never edited
- Built for USB scanners: a scan that lands in the wrong box is moved to the scan box and never submits another form
Stock you can trust
- Every handset its own record: IMEI 1 and 2, serial, condition, cost, branch, supplier and a history that is never deleted
- Accessories by quantity with an average cost
- Goods in by scanner: 20 handsets booked in without touching the mouse; duplicate IMEIs refused with where the phone is; supplier costs in their own currency at the invoice's rate
- Two counters, or a counter and an online buyer, can never sell the same phone
- Transfers between branches, stock counts, write-offs with reasons, low-stock alerts
Warranty and IMEI lookup
- Shop warranty and manufacturer warranty, kept apart, by condition (new, used, refurbished), per product, category or the whole shop
- Scan an IMEI and see in seconds: both warranties with end dates, when and where it was sold, to whom, and the phone's full history — from any branch
Repairs
- Intake with condition notes, photos, accessories checklist, estimate and advance; a phone you sold is recognised, with its warranty
- Screen locks stored encrypted, shown only to the assigned technician, erased at collection; photos private
- Received → diagnosed → quoted → approved → in progress → waiting for parts → ready → collected, every step recorded
- Parts taken from stock at cost, labour separately; job sheet and receipt; uncollected devices listed; "your phone is ready" by SMS or WhatsApp
Trade-ins and used phones
- An exchange at the counter: the old phone is valued with a checklist (activation lock removed is required), credited on the sale and booked into stock as a used unit at the value you gave
- Buy phones outright; optional seller ID, encrypted, with the ID photo deleted automatically after the period you set
- Used and refurbished phones on your website one by one: each with its own grade, photos, notes, battery health and price — the buyer gets that exact phone
Instalments (in-house)
- Down payment, number of instalments, weekly to monthly, an optional fee shown before the customer agrees
- Payments with receipts, balance and lateness always worked out, one late fee per late instalment, SMS reminders before and after the due date
Your online store
- Home page with slides, category tiles, today's deals and featured products; endless product lists that still work without JavaScript; filters by specification (RAM, storage, 5G…), compare up to four, reviews you approve
- Guest checkout or customer accounts; items set aside only when checkout starts, so a buyer is told "just sold out" before paying, never after
- Bank transfer, cash on delivery and PayHere cards; delivery charges by area, weight or order value; collection from a branch; couriers with tracking links
- Order emails and texts at each step; tracking by order number; catalogue-only mode with "Ask on WhatsApp" if you do not sell online
- The website, customer accounts, order emails and customer texts in English, Sinhala and Tamil (the Sinhala and Tamil wording is machine-drafted); two themes
- Search-engine ready: sitemap, canonical addresses, product structured data
Reports and the dashboard
- Sales by day, branch, staff and channel; payments and tax; returns, and margin after returns
- Margin per product and per handset (IMEI, sold for, cost), trade-in resale, repair profit, stock age, stock value at cost, instalments owed, low stock — each with CSV
- A dashboard per role and a "Waiting on you" list; staff alerts under the bell
Built for shared hosting
- Upload the zip, open your domain, follow the web installer — no SSH, no Composer, no Node, no build step, no queue worker; one cron line
- Updates from the admin: upload the new version and press Update; your data, pictures and settings are never touched
- Five staff roles (owner, manager, cashier, technician, storekeeper), branches, an activity log; a sample shop to try everything first
Requirements
- PHP 8.2+ with pdo_mysql, mbstring, openssl, tokenizer, xml, ctype, fileinfo, curl, gd, intl and zip; MySQL 8 or MariaDB 10.6+; Apache or LiteSpeed with .htaccess; one cron job; HTTPS; an email account for sending
What's included
- The full PHP source, the web installer, the sample shop, the user guide, the installation and update guides
- Updates and support: [YOUR update policy and support terms, e.g. "12 months of updates and 6 months of support by email"]
Not in this version
- Card gateways other than PayHere (iPay.lk, Stripe, PayPal, Razorpay and Flutterwave come in later versions); refunds sent back through a card gateway automatically (refund in the gateway's dashboard and record it on the return); returns of sales paid by an in-house instalment plan; Google sign-in and SMS one-time-code login for customers; staff screens in languages other than English
Your responsibilities
- VoltCart gives you the fields for warranty terms, second-hand phone records, seller ID and instalment terms; the law of your country decides what you must record and print. Have your lawyer check your terms.
1. Create an empty MySQL database and a user for it in your hosting panel.
2. Upload the VoltCart zip into your domain's folder and extract it there.
3. Open your domain — the installer starts: server check, database, then your shop, your owner sign-in and the licence key from your CodeCrate account.
4. Add the one cron job (every minute) the last screen shows.
5. Sign in at /admin. The dashboard lists the first steps. A shop in Sri Lankan rupees can press "Load the sample shop" to try everything first.
Updates: download the new zip from your CodeCrate account and apply it from Shop settings → System update. Your data, pictures and settings are never overwritten.
Set up in this order: shop details → branches → staff → currencies → sales and receipts (tax, payment methods, warranty) → categories and products → suppliers and opening stock → online store, payments and delivery → email and messages → repairs, trade-ins and instalments → theme, slides and pages.
Every day: sell at the counter by scanning, take returns, look up IMEIs, take repairs in and hand them back, receive deliveries, handle online orders.
