TripDesk is the office system for a travel agency that sells air tickets, visas, tour packages and other travel services — with its own public website. It replaces the spreadsheet, the WhatsApp groups and the paper file: every booking knows its cost, price, commission and margin; every visa file knows which papers are missing and where the passport is; every enquiry has an owner and a follow-up date. Built for agencies with one office or several, in any currency and language.

Money
- Cost, sell price, commission and margin on every line, in different currencies, at the rate of the day — never recalculated later
- Part payments, receipts, one-page invoices, refunds with the airline's penalty and your fee, reissues and corrections that never overwrite history
- Customers owing by age, suppliers owed per currency, commission to collect, cash and bank day book
- Payment links: customers pay a booking's balance online through PayHere, Stripe or PayPal (your own merchant account), or see your bank details; the payment is recorded on the booking when the gateway confirms it — never twice

Visa desk
- Visa types with checklists you maintain; a file per applicant with each document uploaded, verified or rejected
- Submissions, appointments (with reminders), decisions, and passport custody — who holds each passport right now
- Scans encrypted in private storage, opened only by permitted roles, every view logged, deleted automatically after the retention period

- Every enquiry from the counter, phone, WhatsApp or the website, with follow-ups that come back as "Due now", quotes, won and lost with reasons
- Customers with passports (numbers encrypted), families and groups, and their whole history
- Data protection requests: export everything you keep about a customer (one zip with a readable page and their scans), or erase their personal data on request while the bookings and payments stay for your accounts

Messages
- Automatic reminders by WhatsApp (Cloud API templates), SMS or email: payments due, departures, visa appointments, passports expiring or ready
- SMS through SMSlenz or Text.lk (Sri Lanka), or Twilio, Vonage or MessageBird (worldwide) — your own account with the provider
- Quiet hours, each customer's own language and preferred channel, fall-back to the next channel, a full message log

Languages
- English, Sinhala and Tamil: staff screens, website and the standard customer messages; each staff member and each customer in their own language. Any wording can be changed from the admin, and more languages added the same way
- The Sinhala and Tamil wording was drafted with machine translation and a fixed word list and checked by a second review; you can correct any wording from the admin

Website
- A fast, phone-friendly website in three looks, in each of your languages: tour packages, visa help per country, services, destinations, experiences, testimonials (published only with the customer's agreement), travel tips, newsletter sign-up, privacy and terms pages
- A home page you arrange yourself; enquiries go straight into TripDesk
- Sitemap, search-engine data and fonts served from your own server

Owner
- Reports: sales and margin by month, service, staff, branch or customer; receivables by age; visa pipeline; enquiry conversion — each with CSV
- Branches, staff roles (owner, manager, counter, visa officer, accounts), audit trail, several currencies and languages, your logo on everything

Built for shared hosting
- Upload the zip, open your domain, follow the web installer — no SSH, no Composer, no Node, no build step, no queue worker
- Updates from the admin: upload the new version and press Update

Requirements
- PHP 8.2+ with pdo_mysql, mbstring, openssl, tokenizer, xml, ctype, json, fileinfo, intl, curl (gd and zip recommended); MySQL 8 or MariaDB; one cron job

1. Create an empty MySQL database and a user for it in your hosting panel.
2. Upload the TripDesk zip into your domain's folder and extract it there.
3. Open your domain — the installer starts: server check, licence key (from your CodeCrate account), database, your agency and your owner sign-in.
4. Sign in at /admin.
5. Add the one cron job the installer shows (every minute).
6. Optional: Settings → Agency details → Load sample data, to see every screen with invented data before you start.

Updates: download the new zip from your CodeCrate account and apply it from Settings → System update. Your data, uploads and settings are never overwritten.

Set up in this order: agency details and logo → branches → currencies and rates → languages → staff and roles → suppliers → services → visa types and checklists → tour packages and departures → messaging (WhatsApp, SMS, email) → online payments (optional) → the website.
